SERVICE AGREEMENT & WORKFLOW
HOW WE WORK TOGETHER
Welcome aboard! Unlike traditional agencies that charge high markups and hide costs, I act as your Website Growth Director.
By subscribing to a plan, you agree to these terms. They exist to keep our partnership transparent, efficient, and safe for both of us.
THE MONEY STUFF
To keep things clear, your costs are split into Three buckets:
- The Management Fee (My Pay) This is the recurring monthly fee you pay me to oversee your strategy, security, and updates. This covers my time and infrastructure.
- Late Payments: If your management fee fails to process, I’ll give you a heads-up. If it’s not fixed within 10 days, I’ll have to pause our work and restrict access to the site until the balance is cleared. Let’s keep the lights on!
- The Labor Budget (Your Expenses) This is the flexible budget listed on your plan (funded via your Virtual Card). It is used to pay for your specific needs, like third-party software, domain renewals, or specialist labor. You only pay for what you actually use.
- The E-Commerce Scaling Fee (Transaction %) Applies only to clients with active Online Stores or Booking Systems collecting payments.
- The Fee: A small fee of 0.7% is applied to each transaction processed through the website.
- Why: As your sales volume grows, the technical load on your site (database queries, security logs, checkout monitoring) increases significantly. This fee ensures that my compensation scales with the complexity of managing your growing business.
- How it works: This is automated within the payment processor (SureCart/Stripe). It is deducted instantly at the moment of sale, so you never receive a separate bill for it.
REFUND POLICY
- Project Start Definition: The “Project Start Date” is defined as the day your initial payment (Setup Fee or First Month) is successfully processed.
- The 7-Day Safety Window: You may request a partial refund within the first 7 calendar days of the Project Start Date. In this event, a 50% refund of the paid fee will be issued. The retained 50% covers the immediate costs of server provisioning, administrative onboarding, and software licensing.
- After 7 Days: After 7 calendar days, the service is considered fully active and no refunds will be issued for any reason.
- Labor Budget Exception: Any funds already spent from your Virtual Card (Labor Budget) on third-party software, domain names, or completed specialist tasks are non-refundable, as these are direct expenses paid to external vendors.
YOUR PLAN AND HOURS
Your specific perks—like how many hours of edits you get or how fast I reply—are defined by the Service Plan you chose at checkout.
- Edits & Labor: If your plan includes labor hours (e.g., 4 hours/month), please use them! They expire at the end of the month and do not rollover.
- Need More? If you need work done beyond what your plan covers, I’ll quote you the cost, and once you say “Yes,” I’ll bill it directly to your Labor Budget card.
THE LABOR BUDGET (Your Operational Fund)
This is how we manage the “Monthly Labor Budget” listed in your service plan. Instead of sending you a dozen small invoices for every plugin or edit, we use a dedicated funding source to keep things moving fast.
- The Mechanism (Virtual Card): You create a specific Virtual Card (via Wise, Revolut, etc.) in your business name and give me restricted access. This card acts as your Labor Budget.
- What It Pays For: I charge this card for your third-party expenses (Booking Fees, Plugin Renewals) and any specialist labor you have approved via text.
- Why We Do This: Speed + Ownership. You own the receipts, you own the licenses, and we don’t have to wait for an invoice to clear just to fix a bug.
- Keep It Funded: It is your responsibility to ensure this card has enough funds to cover your active tools and requested work. If a payment declines for something critical (like your booking system), the tool might go offline. I can’t be responsible for downtime caused by an empty budget.
The Refill Example:
- Scenario: Your plan requires a standing balance of $1,500.
- Activity: During the month, we spent $400 on labor (a blog post update and a graphic design task) and $50 on software.
- Result: Your account balance is now $1,050.
- Action: You simply deposit $450 to bring the balance back to $1,500.
- You are never “billed” for the full $1,500 again (unless the balance is zero zero)—only the $450 used.
SUPPORT & WHATSAPP
I run everything through WhatsApp so we can move fast.
- Response Times: I prioritize messages based on your plan tier. If you are on a Priority plan, you jump to the front of the line. If you are on a Basic plan, I’ll get to you during standard business hours.
- Business Hours: Unless you have a “24/7” plan, I stick to standard business hours. I need rest to be sharp for your strategy!
Response vs. Resolution: Just a heads up on timing:
- Response Time: How fast I reply to say “I’m on it!” (Defined by your plan).
- Completion Time: How long the work actually takes. Small edits are usually done within 24-48 hours. Larger projects (like a new sales page) will be given a specific timeline when we quote them. Work does not include holidays.
MY TEAM & PARTNERS
While I act as your primary Growth Director, I don’t work in a silo. I work alongside a trusted Operations Partner (VA) who helps manage the day-to-day flow of our projects.
- Their Role: You may occasionally hear from them regarding scheduling, gathering content for your site, or answering initial support questions on WhatsApp. They handle the logistics so I can stay focused on the high-level strategy and design.
- Communication: Please treat my partner with the same respect you show me. They have direct access to my calendar and my ear—communicating with them is the fastest way to get administrative tasks handled.
- Confidentiality: My partner is bound by the same strict confidentiality agreements as I am. Your data and secrets are safe with both of us.
PROJECTS & CUSTOM BUILDS
Sometimes you need more than maintenance—you need a whole new website or a major feature added. Here is how we handle big projects:
- The Quote: I will provide a custom quote for the project. This quote is valid for 30 days. If you wait longer than that to say “Yes,” I may need to re-quote based on my current availability.
- Outside Tools: If your project requires specific paid software, premium plugins, or third-party licenses to function, these costs will be explicitly included in the quote (or identified as a separate expense to be charged to your Labor Budget).
- Scope Protection: The quote covers exactly what is listed. If you ask for “just one more page” or a new feature halfway through, that is considered Out of Scope. I will happily do it, but it will be billed as an extra cost.
- The “Ghost” Rule: Projects require your feedback. If I send you a draft and don’t hear back for 14 days, the project will be placed on hold. If 30 days pass with no communication, the project will be considered “Completed” and fully billed.
GRAPHIC DESIGN SERVICES
Need a flyer, social media graphics, or a brand refresh? I handle this the same way I handle web projects.
- Custom Quotes: Since every design needs to be unique, all graphic design work is custom quoted. I will estimate the time/cost based on your specific request, and work begins once you approve that quote.
- Outside Assets: If your design requires paid stock photos, premium fonts, or licensed vector elements, these costs will be included in the quote so you know exactly what the total project will cost before we start.
- Revisions: My design quotes include two (2) rounds of revisions to tweak the look. If you need more changes after that, we simply bill for the extra time using your Labor Budget.
- Typos & Spelling: I am a designer, not a copy editor. I will copy-paste the text you give me. Please proofread everything before giving final approval. I am not responsible for re-printing costs if a flyer goes to print with a typo you approved.
- Deliverables: I will provide you with the final high-quality files (JPG, PNG, PDF). If you need the editable source files (like the Photoshop or Canva file), please let me know upfront, as that may adjust the quote.
ADMIN ACCESS & USER ROLES
To keep your website secure and prevent accidental “white screens of death,” we handle user access carefully.
- Your Default Role (“Site Owner”): You will be assigned a custom user role called “Site Owner.” This gives you full control to edit text, change prices, manage orders, and write blog posts. It restricts access to sensitive plugin settings, core code, and global layouts. This is a safety feature to ensure you don’t accidentally delete a critical tool or break the site’s design.
- Requesting Full Admin: If you hire an outside SEO team or simply want full control to install your own plugins, you may request full Administrator access at any time.
- The “Unlocking” Agreement: To grant full Admin access, I will require you to sign a separate “Admin Release of Liability.”
- Why? Once you have full access to the code, I can no longer guarantee the site’s security or uptime. Any technical issues or crashes caused by changes made under your Admin login will be billed as “Emergency Repair” work at my standard hourly rate.
LIMITATION OF LIABILITY
- Technical Role: While we perform uptime monitoring and security checks, we cannot guarantee 100% uptime due to the nature of third-party hosting and software.
- Booking & Revenue: I am not liable for lost revenue, missed appointments, “no-shows,” or data corruption resulting from technical glitches, plugin conflicts, or server outages.
- Third-Party Platforms: We often connect your site to Instagram, Google Maps, or Booking APIs. Occasionally, these companies change their code, causing connections to break. Since I do not own Instagram or Google, I cannot guarantee these features will work forever. Re-connecting broken feeds is considered billable maintenance, not a warranty repair. You can use your free work hours to cover the fix.
- Regulatory Compliance: I am not an attorney or medical compliance officer. You assume sole responsibility for all content, health claims, pricing, and medical advice presented on the website. You agree to indemnify me from any claims or fines (FDA, FTC, ADA) arising from your content.
TOOLS & LICENSES:
- My Stuff: As a perk of working with me, I let you use my agency licenses for tools like Htmega Pro and Nexter Pro for free (based on your plan). These tools are provided as a courtesy and a gift, not a contractual privilege. Since I pay for these licenses, I reserve the right to change or discontinue the specific tools provided at my sole discretion, especially if tool prices change or I find alternative tools that better suit my workflow.
- The GPL Method
I use a mix of licensed and temporary GPL plugins to build and launch your site. My active licenses for HTMega Pro and Nexter Pro are included and shared as part of the build. Some other tools, such as Amelia, JetEngine, and SureMembers, may be installed using temporary GPL versions during setup. These are for initial development only. To keep updates and long-term support active, the client will need to purchase their own licenses for those plugins.
CONFIDENTIALITY & TRUST
I treat your business data with the utmost discretion and care, as if it were top secret. I will never share your client lists, sales figures, proprietary formulas, trade secrets, or any other sensitive business information with any third party. This commitment extends beyond our working relationship. What happens in your backend, stays in your backend, and I am prepared to sign a Non-Disclosure Agreement (NDA) to formalize this pledge.
SHOWING OFF OUR WORK
I’m incredibly proud of the hard work and success we achieve together. Therefore, you grant me permission to feature your completed website design, development, and growth results in my professional portfolio, case studies, and marketing materials to demonstrate the quality of my work and show prospective clients what’s possible. (Rest assured, I will only share high-level visuals and measurable wins; I will never disclose sensitive or confidential financial data, proprietary business strategies, or specific client contact information without your explicit, separate approval.)
THE DIRECTOR ROLE
You are paying the Management Fee for Oversight and Quality Control, not just tasks. Here is the distinction between hiring a freelancer yourself versus having me manage them:
- Security & Gatekeeping: When I hire outside specialists, I never give them “the keys to the kingdom.” I manage custom user roles and only grant them the minimum access required to complete their specific task. Once the job is done, their access is revoked. This protects your client data and prevents a freelancer from accidentally breaking your site’s core infrastructure.
- Expert Vetting & Procurement: I source talent from a mix of long-term partners and vetted specialists on platforms like Fiverr. I know how to read reviews, check portfolios, and test technical skills so your Labor Budget isn’t wasted on low-quality work.
- The “Translator” Advantage: I write the technical briefs and verify that the work delivered meets professional standards before it goes live. I talk to the tech team so you don’t have to.
- Strategic Alignment: I ensure the work produced is actually connected to your system correctly and optimized for your specific growth goals.
- Dispute & Quality Management: If a freelancer under-delivers or “ghosts,” I handle the headache. I manage the revision process, handle Fiverr disputes, and—if necessary—source a replacement specialist immediately.
- Direct Cost Model: You pay the specialists their market rate directly through your Labor Budget. You get a managed team without the 200% markup typical of traditional agencies.
- Selective Hiring: I do not hire all the specialists at once. They’re hired only as needed to keep the budget light. Ex: If your labor budget account is $1000 but your seo for the month is $800 but you need a crm specialist the same month for $500 then the budget is exceeded and you may need to either increase the labor budget account or replace the seo expert for the crm specialist for the next month.
THE SPECIALIST TEAM & PARTNERS
While the full roster of specialists is available to you, they are not all “switched on” at once.
- Selective Hiring & Budget Control: To keep your overhead low, specialists are hired strictly on-demand. We only deploy the specific talent needed for the current month’s goals.
- Managing the “Cap”: Your Labor Budget (Virtual Card) has a limit. If your monthly goals exceed that limit, we will pivot.
- Example: If your budget is $1,000 and you want $800 in SEO work plus a $500 CRM setup, we will hit a ceiling. I will provide you with two choices:
- Increase the Budget: Add funds to the card to cover both.
- Prioritize: Keep the SEO expert and schedule the CRM specialist for the following month.
- Your Decision: I provide the data and the options, but you always have the final say on how your Labor Budget is spent.
Note: This is a full list of available specialists. The ones available to you will depend on the plan you’re under.
- We do not keep them on a continuous payroll; instead, we deploy them strictly based on your site’s current needs, so you only pay for the specific job done.

You can cancel our partnership at any time with 30 days’ notice via text or email.
- The Exit: I’ll help hand over your admin credentials so you have full control.
- The Card: Once we finish up, you should cancel/freeze the Virtual Card you gave me immediately.
- The Licenses: My agency licenses (Elementor/SureMembers) will be deactivated. You’ll just need to buy your own keys to keep those specific features working.
